AI-enabled property operations for UK estate and lettings agencies

The property operations work that sits outside your CRM.

EliteAI designs and implements controlled AI-enabled workflows for documents, approvals, compliance coordination and the information that has to move between systems by hand. We start with an honest assessment of one workflow and propose a build only where there is a genuine operational gap.

A short fit check on one workflow. No written audit and no generic automation proposal.

  • CRM
  • Inbox
  • Documents
  • Human approval
The work EliteAI improves moves between these four places.

Where the work breaks

The gaps between the systems you already run

Documents arrive everywhere

Referencing packs, certificates and signed paperwork land in inboxes, portals and shared drives, then get checked and filed by hand.

Compliance dates live outside the record

Safety certificates and licensing dates are tracked in spreadsheets and calendars, so chasing starts late and depends on one person remembering.

Handovers lose information

A maintenance issue passes through the agency, the contractor, the tenant and the landlord, and each step retypes what the last one already knew.

Approvals happen off the record

Decisions on works, deductions and landlord instructions are made by phone or in passing, and there is nothing retrievable afterwards.

Figures move by hand

Rent, fees and contractor invoices are re-entered between the property system and the accounts package, and differences surface late.

Two systems after a migration

A partly finished CRM change leaves teams working in both systems, doing the same job twice with no clear view of the cost.

What EliteAI helps you improve

Operational changes, described plainly

Fewer manual re-entries

Information moves between the systems that already hold it, instead of through a person and a keyboard.

Exceptions reach a named owner

Anything unclear goes to a person who is expected to decide, with the reason attached, rather than sitting in a queue.

Decisions leave a record

Approvals capture who decided, what they decided and when, so it can be retrieved later.

Coordination runs to prompts, not memory

Renewals, inspections and end-of-tenancy steps are prepared before they are due.

Illustrative example

Document intake for a tenancy file

Referencing documents can arrive from several sources over several days. A team member checks them against the tenancy record, files what is complete and chases what is missing. A controlled intake workflow can bring those steps into one place, while keeping unclear items and record updates with a named person.

Illustrative document intake workflow: a synthetic tenancy file is checked against a document checklist; complete information goes to human approval before the property record is updated, while unclear items go to a named owner.

Illustrative workflow using synthetic data — not a client result.

The example shows a synthetic tenancy file moving through a document checklist. Complete information is prepared for human approval before the property record is updated. Missing, unclear or inconsistent items follow an exception route to a named owner, with the reason and next action kept visible.

  • Information is checked before it is filed or routed.
  • A person approves important updates and exceptions.
  • The exact systems, permissions and retention rules are agreed during the paid Assessment.

How we start

First establish whether a build is needed

  1. Step 1

    30-minute Fit Call

A short call to establish whether there is a workflow worth assessing. We discuss one workflow, the systems around it and who owns the decision. If it is immediately clear that your existing CRM already covers the issue, we will say so. It is a fit check, not consulting: there is no written analysis, workflow map or proposal at this stage.

  2. Step 2

Property Operations Automation Assessment — £950 to £1,250, paid in full before the workshop

A paid, vendor-neutral written assessment of one agreed workflow. It maps the current process end to end, checks which features you already pay for in your current CRM, documents where information leaves your systems and returns as manual work, sets out feasible options with indicative costs, and recommends the smallest sensible next step.

  3. Step 3

    Fixed-scope Pilot

Proposed only where the Assessment identifies a genuine gap worth addressing: one controlled workflow with acceptance criteria, approval points, security boundaries and a documented handover. Quoted after the Assessment, with 40–50% taken in advance before delivery begins.

The Assessment can conclude that your existing CRM, a configuration change, your current supplier or no automation already provides the right answer. We will say so when that is the right outcome rather than sell a project you do not need.

Measured before claimed

We publish results only once they are measured

EliteAI does not publish time savings, percentages or case studies that have not been measured with the client whose work they describe. Every Assessment records a baseline first, so any later claim can be checked against it. Where an example appears on this site, it is labelled as illustrative.

Questions

Before you book

No. We start from the systems you already run. Where your CRM already covers the issue, or a configuration change would, that is the recommendation.

Thirty minutes on one workflow: what it involves, which systems it touches and who owns the decisions in it. It is a fit check, so there is no written analysis or proposal at that stage.

Because it is the work. It is a vendor-neutral written assessment of one workflow, and it can conclude that no build is needed. Charging for it is what keeps that conclusion available.
